Job Description

Dispatch & Transportation Operations

  • Coordinate and monitor daily driver schedules, routes, and load assignments.
  • Communicate with drivers regarding pickups, deliveries, delays, and route changes.
  • Track transportation activities to ensure on-time performance and customer satisfaction.
  • Resolve scheduling conflicts and transportation issues in a timely manner.
  • Monitor driver availability and maintain appropriate coverage levels.

Customer & Driver Support

  • Provide exceptional customer service to clients, drivers, and internal team members.
  • Serve as the main point of contact for transportation-related inquiries.
  • Address and resolve service concerns while maintaining positive customer relationships.
  • Communicate effectively via phone, email, and other communication platforms.

Administrative & Compliance Support

  • Maintain accurate transportation records and ensure timely data entry into company systems.
  • Track and maintain driver, vehicle, and customer documentation.
  • Assist in obtaining and organizing required compliance documentation.
  • Ensure files containing confidential information are maintained accurately and securely.
  • Manage customer-specific requirements and web portal updates.

Billing & Operational Coordination

  • Maintain client billing information and process updates as needed.
  • Collaborate with Payroll and Billing teams to ensure accurate processing of hours and invoices.
  • Assist with customer rate reviews and updates.
  • Support special projects and operational initiatives as assigned.

Safety & Team Collaboration

  • Promote and reinforce a culture where safety is the top priority.
  • Collaborate with Operations, Sales, Recruiting, Payroll, and Compliance teams to ensure seamless service delivery.
  • Support continuous improvement efforts and operational efficiencies.

Qualifications

Required

  • 3+ years of dispatching, transportation, logistics, or fleet management experience preferred.
  • Strong understanding of transportation operations and scheduling practices.
  • Ability to prioritize multiple tasks and make decisions in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Strong problem-solving and conflict-resolution abilities.
  • Ability to build effective relationships with drivers, customers, and internal teams.
  • Proficiency in Microsoft Office and transportation management systems.
  • Strong attention to detail and organizational skills.
  • Ability to handle confidential information professionally.
  • Valid driver's license and reliable transportation for business use.

Preferred Qualifications

  • Experience with transportation staffing, trucking, logistics, or fleet operations.
  • Knowledge of DOT regulations, driver compliance requirements, and transportation safety standards.
  • Experience working with dispatching, payroll, and billing systems.
